Job Summary:
Responsibilities
- Assist the Regional Account Manager in overseeing all aspects of facilities-related issues at the assigned locations;
- Review and submit the monthly and ad-hoc service invoices;
- Prepare the Facilities Management (FM) accruals for the region at the end of the financial year;
- Consolidate and review the regional budget workbooks;
- Monitor the Accounting / Payment Logs for APAC locations;
- Implement and promote cost saving, HSSE and Carbon Footprint initiatives within the region;
- Administer and operate the new call center and Customer Service system for the region;
- Attend regular FM operation meetings;
- Consolidate and compile the monthly FM reports for the client's locations;
- Compile and consolidate the updated floor plans and changes on a regularly basis;
- Prepare and review the APAC workflows for various services and Standard Of Procedure;
- Responsible to general administration works in client's local HK Cultivate and maintain good relationships with internal customers;
- Support the lease administration process by providing the Portfolio Administration Services (PAS) team with all the necessary documentation for each completed acquisition/downsize/expansion/relocation/disposal, etc; and
- Administer the Project Insight Tool, and coordinate with the respective Project Managers to ensure that all project updates are uploaded in a timely manner.
Qualifications & Experience
- Bachelor degree or equivalent in Facility/Property Management, Engineering or related discipline;
- A minimum of 3 years' relevant experience in Facility/Property Management or related field;
- Strong management, analytical and presentation skills, with excellent communication and organization skill;
- Exceptional interpersonal skills with the ability to build rapport;
- Good team player, highly pro-active and with strong initiative;
- Membership of relevant organizations is preferred;
- Fluent in both written and spoken English and Chinese (Cantonese & Mandarin); and
- Proficient in MS Office suite and especially MS Excel, Word and PowerPoint.
